Why a warehouse is needed when the logistics are already in place

A warehouse solves not the carriage problem but the control problem before carriage. The carrier takes away what was brought to it and does not check completeness against the order. While the goods go from the supplier straight to the terminal, you have no point at which the places can be counted and compared with the invoice.

The warehouse becomes that point. It sits between the supplier and your carrier and replaces neither of them. Defects and discrepancies are found in Guangzhou, where the supplier is still reachable, rather than after unloading at your end.

  • You see what the supplier shipped before paying for the freight
  • Several suppliers are brought together in one place and leave as one shipment
  • The goods can be held back if the shipment is not yet complete
  • A claim to the supplier is based on the photo report, not on memory a month later
  • Your carrier, rates and route stay the same

What this means in practice

You do not renegotiate the contract with the carrier or the rates. All that appears is a report on every goods receipt.

What happens to your goods at the warehouse

The cargo arrives at the warehouse

The supplier sends the goods to the warehouse address, with the client code on every place.

If a package arrives without a client code, we log it as unidentified and ask you for the list of expected shipments.
Piece count and visual check

We count the boxes, weigh them, measure the dimensions and check the packaging for dents and traces of moisture.

If the packaging appears damaged, we photograph it before opening the package to support a claim against the supplier.
Order verification

We check the items against your list by SKU, model, colour, size and quantity. If packages need to be opened, we agree the scope of a detailed inspection with you.

If we find a discrepancy, we pause preparation of the shipment and agree the next steps with you.
Photo report

For the basic receiving check, we photograph the packages and labels. For order verification or a detailed inspection, we add photographs of the goods and any problems found and send you the report before dispatch.

If you still have questions after reviewing the photo report, we take additional photographs of the relevant items.
Storage and building up

The cargo sits until the remaining suppliers arrive or until you give the instruction to dispatch.

If a supplier misses the deadline, we dispatch the part of the shipment that is ready and move the remainder to the next shipment.
Handover to the carrier

We mark the places, prepare the packing list and hand the shipment over to the carrier.

If the package count at handover differs from the packing list, we document the discrepancy in a report and photographs.

Basic receiving, order verification and detailed inspection

These are three distinct levels of service, and we agree the exact scope of each in advance.

  • Basic receiving check: package count, visible condition of the packaging, weight, dimensions and photographs of the packages
  • Order verification: SKU, model, colour, size and quantity
  • Detailed inspection: opening packages, checking contents, visually inspecting the goods and working through your checklist
  • Order verification: we record short shipments, overages, product mix-ups and items not on your list
  • Detailed inspection: we record discrepancies in contents or appearance and any deviations from your checklist

Order verification follows the list you provide: the supplier's SKU, your product name, model, colour, size and quantity. A detailed inspection is carried out against your checklist and is described on the page inspection of goods at the warehouse.

What the photo report looks like

The basic receiving photo report shows the packages, labels and visible condition of the packaging. For order verification or a detailed inspection, we add photographs of the items and any problems found. You receive the report before dispatch, while the goods are still in China.

  • Basic receiving check: an overall view of all packages in the shipment with the shipping marks visible
  • Basic receiving check: labels, package numbers, visible condition and any damage to the packaging
  • Order verification: SKU, model, colour, size and quantity against your list
  • Detailed inspection: opened packages, package contents, visual inspection and any deviations from your checklist

How long the goods can be stored: there is no paid storage

Building up a shipment is the mode in which cargo from different suppliers sits at the warehouse and waits for the remaining items. Dispatch is formed when the shipment is ready or on your instruction, not when the first box arrives.

There is no paid storage at all: for regular clients the cargo sits free of charge while the shipment is being built. There is no rate for storage beyond a period, so a free storage period does not exist for us as a concept. Long-term accumulation for a specific task is discussed case by case, before the cargo is received.

  • Suppliers ship on the dates that suit them, not all on one day
  • You do not pay for dispatching every box separately
  • Seasonal goods can be held back until the week you need

We accept commercial shipments. It pays better to build a larger shipment: the price per kilogram on a small shipment is noticeably higher, because collection, goods receipt and packing fall on a smaller weight. Free storage lets you wait for the remaining suppliers without overpaying for the warehouse.

If there are more than three suppliers, synchronising readiness dates is added. How that works is described on the page consolidation of several suppliers.

Packing, palletising and collection of cargo within China

Before handover to the carrier we prepare the places to a layout: wrapping, palletising, marking. Packing prices are published and are current as at 20 August 2026.

Packing prices at the warehouse in Guangzhou, as at 20 August 2026
OperationPriceWhen it is needed
Crated pallet$30 per cubic metreFragile or high-value goods, several transhipments en route
Bag and tape$5 per placeBasic protection of cardboard against moisture and scuffing
Cardboard corner with a bag$6 per placeSoft box corners, stacking inside the vehicle
Wooden crate for small boxes$15–25Small heavy places: equipment, glass, ceramics

We choose the layout after measuring and agree it with you: we do not rework factory packaging if it will hold up on the route. How these items enter the overall quote – on the page pricing.

Collection of cargo from the supplier within China is charged as incurred by the carrier or as a surcharge of $20–50 per shipment: it depends on the distance to Guangzhou, the weight of the consignment and the number of addresses. Collection from each supplier is a separate line.

How the cargo is handed over to your carrier

  1. You confirm the contents of the shipment against the photo report and the item list
  2. We prepare the places: repacking, palletising, marking
  3. We produce the packing list: places, weight, dimensions
  4. The carrier collects the cargo from the warehouse, or we take the shipment to its terminal
  5. We record the handover by number of places, with discrepancies logged in a report and photos

From there the cargo follows the familiar pattern: your route, your rate, your clearance. The logistics can be compared later, that is a separate step on the page switching from your current provider.

When the cargo will leave the warehouse

The lead time is counted from the handover of the shipment to the carrier. Below are benchmarks for the routes currently open: they depend on how loaded the route is and on customs.

Lead times from the warehouse in Guangzhou to the consignee
RouteTransportLead time
KazakhstanRoad10–15 days
UzbekistanRoad15–20 days on the accelerated route, 20–35 on the economy route
UkraineAirFlight of 4–7 days plus 3–4 days for collection from Poland and customs
EuropeAir12–20 days to the consignee's address

The full breakdown by stage and what shifts the lead time – on the page delivery lead times.

Which addresses you give your suppliers

We do not publish the exact warehouse address: you receive it once the arrangement is agreed, together with the goods receipt phone number and your client code. The code is mandatory: it is what ties a box to your shipment rather than to someone else's.

  • The warehouse address in Chinese for delivery within China
  • The name and phone number for goods receipt, for the courier or driver
  • Your client code, which the supplier writes on every place
  • The marking format: client code, place number, description of the goods
One mistake breaks goods receipt

A place without a client code goes into investigation and delays dispatch. Ask the supplier to write the code on the box with a marker, not only on the waybill.

What to do if the supplier sent the wrong thing

Dispatch stops and you receive photos of the discrepancy before carriage. You take the decision, we carry it out at the warehouse.

  1. We record the discrepancy in photos: SKU, quantity, nature of the problem
  2. You choose: dispatch as is, wait for a replacement, return the goods or drop the item
  3. A top-up delivery arrives at the same warehouse as a separate consignment under your shipment
  4. On a return we hand the goods to the supplier's representative and record the handover
  5. The rest of the shipment leaves on schedule

When payment goes through us, a short-shipment dispute is pursued before the supplier is paid in full. More detail on the page supplier payment.

How to try it without changing anything

The scheme without changing carrier exists so that you can test the warehouse on real cargo. You take one shipment, give the suppliers the address in Guangzhou, receive the photo report and hand the cargo to your own carrier. Your current provider keeps handling the other consignments.

After the first shipment you have data: actual weight and dimensions of the places, discrepancies by supplier, the cost of building the shipment. The quote is produced by the calculator, and the pricing logic is set out on the page how the cost is calculated.

FAQ

Can I use your warehouse but ship with my own carrier?

Yes, that is the main scenario for this service. We receive the cargo at the warehouse in Guangzhou, do the piece count, verify SKUs, store the goods and hand the shipment over to your carrier. The route and the clearance stay within your own arrangement.

What does the supplier need to be told in order to send goods to your warehouse?

The warehouse address in Guangzhou in Chinese, the goods receipt phone number and your client code. We do not post the address publicly; we give it to you once the arrangement is agreed. The code goes on every place, otherwise a box cannot be tied to a shipment.

How long can the cargo sit at the warehouse before dispatch?

As long as it takes to build the shipment: there is no paid storage at all, and for regular clients the cargo sits free of charge. A free storage period does not exist for us as a concept, and there is no rate for storage beyond a period. Long-term accumulation for a specific task is discussed case by case.

How will I know that the supplier shipped exactly what I ordered?

The basic receiving check provides photographs of the packages and labels. During order verification, we compare SKU, model, colour, size and quantity against your list. Opening packages, visually inspecting the goods and checking their contents are part of a detailed inspection based on your checklist.

What happens if the wrong goods arrive, or fewer than on the invoice?

Dispatch stops and you receive photos of the discrepancy while the cargo is still in Guangzhou. You then choose: dispatch as is, wait for a top-up delivery, return the goods or drop the item. A top-up delivery is received at the same warehouse.

Does the warehouse suit me if I import officially rather than by cargo?

Yes, goods receipt and storage do not depend on the delivery scheme: we work both with cargo and with official import. The set of documents depends on how the carrier clears the goods. More detail on the page official import.

How much does packing at the warehouse cost, how much is collection within China, and what is the minimum weight?

Bag and tape – $5 per place, cardboard corner with a bag – $6 per place, wooden crate for small boxes – $15–25, crated pallet – $30 per cubic metre. Collection of cargo within China – $20–50 or as incurred by the carrier. A larger shipment is usually better value. The prices are current as at 20 August 2026, and the breakdown is on the page pricing.
